Cloud tax hosting vs. local managed IT: what are you paying for?
Managing partners most often mix up two different products: tax software hosting and full managed IT support.
- National CPA hosting platforms (Verito, Rightworks, Tabush) host your tax software in the cloud. They don’t manage your office firewalls, local printers, Wi-Fi, or desktop hardware.
- Generalist local MSPs cover your office network, machines, and Microsoft 365, but what’s included varies a lot from one provider to the next. Ask for a written list of what is included before you compare quotes.

National hosting platforms cover the software, not your office. They can make good practical sense because they eliminate server maintenance, enable remote access, and let seasonal preparers log in without local setups. However, if your internet drops, your local router dies, your staff gets hit with a phishing email, or a physical PC fails, a hosted tax platform isn’t built to help with that.
A local MSP fills those gaps by managing desktop hardware, Microsoft 365 security, firewalls, network switches, data backups, FTC Safeguards compliance, and providing onsite support when physical equipment breaks.

The “double pay” trap: where accounting IT budgets get wasted
Ian MacRae, president of E-N Computers, sees wasted spending in accounting firm setups over and over: firms paying more than once for the same features.
Many CPA firms buy Microsoft 365 Business Premium licenses through their MSP. Business Premium already includes multifactor authentication with conditional access, mobile device management through Intune, and advanced email threat protection. But some IT providers never configure those tools, then sell third-party add-ons on top — Duo for MFA, a separate spam filter, a separate cloud backup. Then the firm adds a cloud tax host.
“They really are paying twice for these things,” MacRae said. “And then you might add a third time if they contracted with Rightworks — now they’re paying three times.”

Three factors that impact managed IT costs for CPA firms in Virginia
Three things drive what your firm pays for IT support in Virginia and the DC metro area: where your office is, how often your software needs updating, and which compliance rules you fall under.
1. Where your office is: Northern VirginiaandRichmond cost more than the Valley
Although monthly remote IT support rates are fairly consistent across Virginia ($125–$150/user baseline), onsite service and project rates vary.
In Northern Virginia and Richmond, project costs are usually higher than somewhere like the Shenandoah Valley. Physical cabling, hardware installs, and onsite tech dispatches cost more because of higher trade labor rates, parking, permitting, and administrative overhead from coordinating between more stakeholders.

2. How often your tax software needs updating
Accounting firms work against hard filing deadlines, and the software they file with doesn’t wait for a convenient moment. QuickBooks, Lacerte, and UltraTax push tax table changes and program updates throughout the year, often with little notice, and a firm in the middle of a season can’t put them off.
Change management time is the block of hours in your contract set aside for that kind of work — updates, configuration changes, anything that isn’t a break-fix ticket. Without it, every vendor release becomes a separate invoice.
“Accounting firms will often need more change management because tax software companies push updates out,” MacRae said. “If they don’t have change management time set aside in their plan, they get hit with extra hourly charges every time QuickBooks or a tax program pushes an update.”
For a typical 10- to 20-person firm, we recommend quarterly change management blocks rather than a larger standing monthly allowance. Vendor releases cluster around filing periods, so quarterly blocks match when the work happens instead of carrying unused hours through the quiet months.
3. Which compliance rules you fall under
Under the updated FTC Safeguards Rule (16 CFR Part 314) and IRS guidelines, paid tax preparers are classified as non-bank financial institutions. While general accounting services fall into a gray area, any firm preparing tax returns must maintain a formal Written Information Security Program (WISP), designate a Qualified Individual to oversee it, and report unencrypted data breaches affecting 500 or more consumers to the FTC within 30 days.
The technical controls required include multi-factor authentication (MFA), data encryption at rest and in transit, and regular system monitoring—either through continuous monitoring tools or annual penetration testing paired with semiannual vulnerability scans.
If your firm handles data for fewer than 5,000 consumers, 16 CFR § 314.6 exempts you from formal written risk assessments, written incident response plans, and annual board reporting. However, fundamental controls like MFA, encryption, and a core WISP remain mandatory regardless of size.
A compliant MSP handles the technical burden—configuring MFA, drive encryption, patch management, and monitoring controls—and can act as your outsourced Qualified Individual or assist with your WISP documentation, all included in your base rate rather than added as surprise line items.

Some very small clients prefer a basic support plan at $19/device/month. One long-time E-N Computers accounting client runs a monitoring-only package and pays hourly for everything else. When evaluating an MSP proposal, ask these three questions:
- “Are you auditing our Microsoft 365 licensing?” Confirm the MSP consolidates security features within your Microsoft Business Premium setup, rather than selling you redundant third-party tools.
- “How are tax software updates handled?” Confirm whether routine tax table updates and Lacerte/Drake patches are covered under change management or billed hourly.
- “How fast can you get someone to our office?” Get the committed onsite response time in writing, and ask whether it holds during filing season.
